Intruder Policy
The purpose of this policy is to ensure the safety of all students, staff, and visitors at Theatretrain sessions and classes. This policy outlines the procedures to be followed in the event of an intruder entering the premises.
This policy applies to all Theatretrain sessions, classes, students, teachers, support staff, and any visitors to the premises.
An intruder is defined as any individual who enters the premises without permission or legitimate purpose, and whose presence raises concerns regarding safety, security, or unauthorised access.
1.
Prevention Measures
1.1
Specific Venue Details and Procedures
Each team member is provided with the specific venue details and procedures to follow during an emergency situation and is informed of any updates or changes before the next session takes place at that venue.
1.2
Registration and Identification
All students and staff must be registered and recorded on attendance lists.
Visitors must sign in at reception or designated points and be issued with visitor badges.
Only authorised individuals (parents, guardians, and pre-approved personnel) are allowed to enter areas where classes take place.
1.3
Access Control
All external doors should remain locked during class times, with designated entry/exit points monitored.
Staff should ensure that doors and gates are closed securely after use.
1.4
Staff Vigilance
Staff must be aware of unfamiliar individuals entering the premises. If an unfamiliar person is seen, staff should approach them or alert the designated team member (e.g. Company Director or Company Manager).

Intruder Response Procedure
2.1
Assessing the Situation
If an unknown individual is spotted on the premises, the staff member closest to the situation must assess the individual’s behaviour.
If the individual appears non-threatening (e.g., a confused visitor), the staff member should approach them and politely ask for identification and the reason for their presence.
If the individual’s behaviour raises suspicion or concern, staff should not engage directly and instead follow the next steps.
2.2
Raising the Alarm
If an intruder is suspected, the designated on-site emergency team member (e.g. Company Director or Company Manager) should be informed immediately.
The intruder alert signal (if available) should be activated to alert all staff to the situation.
2.3
Evacuating or Locking Down the Premises
Depending on the severity of the threat, staff should:
Evacuate the students to a pre-designated safe area if the threat is severe (e.g., violence).
Lock down the premises by securing all doors and keeping students in safe areas if evacuation is not possible.
2.4
Contacting the Authorities
If the intruder poses a threat or refuses to leave when asked, the police should be called (999) immediately.
Provide the following details to the police:
- Description of the individual (appearance, behaviour, clothing, etc.)
- Location of the intruder
- Any immediate threats to students or staff

Post-Incident Procedures
3.1
Incident report
After the incident, a detailed report should be completed by the staff involved, including the time, location, and nature of the incident, and any actions taken.
The report should be submitted to the Company Director, and if necessary, shared with local authorities or safeguarding bodies.
3.2
Notification of Families
Following an incident involving an intruder, the Company Director or designated senior staff member must ensure that the families of all students involved are notified as soon as possible. Communication should:
- Provide an overview of the incident (without breaching confidentiality or ongoing investigations).
- Reassure families about the safety measures taken and any further steps being implemented.
- Offer an opportunity for families to discuss concerns or ask questions.
In cases where there are ongoing safety concerns, the notification should include advice on any additional precautions or actions being taken.
